What is an electronic signature?

An electronic signature is a digital way to sign documents and agreements securely online. It is equivalent to a handwritten signature but is significantly faster, more secure, and saves time. The document is signed electronically, during which the person authenticates using online banking credentials and the system retrieves the signer's personal information from the bank. The authenticity of the signature is verified digitally.

Electronic signatures are particularly important in today's digital business environment. They make it possible to sign important documents remotely without the need for physical meetings or paper documents, making the process fast, cost-effective, and environmentally friendly. Luottoposti’s electronic signature service complies with the requirements of the EU eIDAS and GDPR regulations as well as the NIS2 requirements and supports operations in line with the United Nations Agenda 2030.

Luottoposti offers information security at the level of online banking. Luottoposti works on all modern devices around the clock, provided that there is an active internet connection and a web browser – no software installation is required. The services are available 24/7.

Why are electronic signatures needed?

Remote work and business operations

Electronic documents are an essential part of modern working life, particularly in remote work and business environments where the parties may be located in different parts of the world. Electronic signatures make it possible to approve important documents remotely – anytime and anywhere.

Security and reliability

Electronic signatures are more secure than handwritten signatures because the signer's identity is verified through strong authentication. This makes the signature extremely difficult to forge. The integrity of the signed document can be verified digitally. This reduces the risk of fraud and forgery.

Fast and efficient

Electronic signatures significantly speed up and streamline processes. Signatures and approvals can be completed in just a few minutes, quickly and efficiently. This saves both time and money while making work processes smoother.

Sustainability

Electronic signatures reduce paper consumption and the need for logistics, which helps lower the carbon footprint of organizations. Digital processes are efficient, environmentally sustainable, and support sustainable economic development as well as operations aligned with the United Nations Agenda 2030.

Who needs electronic signatures?

Businesses and associations

Electronic signatures streamline sales and procurement processes, improve the customer experience, and reduce administrative work. Digital signing is an essential part of the archiving of electronic documents.

Public sector

In public administration, the transition to digital processes accelerates decision-making and significantly improves the efficiency of public authorities. (Finlex 13/2003, Act on Electronic Services and Communication in the Public Sector)

Private individuals

Private individuals can simplify and speed up digital transactions by using electronic signatures for employment contracts, loan documents, insurance documents, deeds of sale, estate inventory documents, and other official documents.

Strong authentication for electronic signatures

Strong authentication is an important part of electronic signatures because it ensures that the person signing is genuinely who they claim to be. This increases the reliability of the signature and helps prevent potential fraud.

Strong authentication in electronic signing takes place as follows:

  • Our customer creates the document to be signed and sends it for signature.
  • The document to be signed is transferred to the electronic signature system, which requires strong authentication of the signer.
  • The signer is reliably authenticated using, for example, online banking credentials or a mobile certificate.
  • Once the signer's identity has been verified, the signing system creates a signature record in the document. The information contained in this record can be used to verify both the identity of the signer and the integrity of the document.

Strong authentication and legislation

Strong authentication means verifying a person's identity in such a way that the user is reliably authenticated before being granted access to services or systems. Strong authentication is typically required when sensitive information is processed or important decisions are made. It is an important security measure that helps protect against identity theft and misuse of information. Examples of strong authentication include online banking credentials and mobile certificates, where authentication is based on a combination of two or more factors.

Legislation sets out requirements for strong authentication, electronic signatures, and the processing of personal data. These requirements are defined in the EU eIDAS and GDPR regulations as well as in the NIS2 Cybersecurity Directive. The objective of NIS2 is to improve and harmonize cybersecurity across the European Union. In Finland, this has been implemented through the national Cybersecurity Act, which entered into force on 8 April 2025.
