Luottoposti User Guide

Thank you for choosing Luottoposti. This brief user guide provides an overview of Luottoposti’s services and how to use them. You can find more information in the Questions section in the top menu of the website. If you cannot find an answer to your question, please contact our customer service team.

Registration

– Register for Luottoposti https://fin.luottoposti.fi
– Select "Register" from the menu.
– You will be taken to the registration page where you can enter your details. Then click the "Register" button.
– Confirm your registration through the verification email sent to your email address.
– You will receive a personal password by SMS. You will need it each time you log in to the Luottoposti service.

– Keep these login credentials in a safe place, as you will need them in the future to log in to Luottoposti.

Login

– Log in to Luottoposti https://fin.luottoposti.fi
– Select "Log In" from the menu.
– You will be taken to the login page, where you enter your email address (the one you used when registering) and your password (which was sent to your mobile phone by SMS when you registered). Then click the "Log In" button.

Notice: We have identified a security-related issue in the Chrome browser that may occasionally cause Luottoposti users to receive an error message when using Chrome. This issue does not pose any actual security risk to users. As a temporary workaround, we recommend using a browser other than Chrome.

Using Luottoposti

In Luottoposti’s secure messaging service, you can easily navigate between different functions using the menus. The menus are available both on the left side of the page and at the top of the screen. You can also use your browser’s back button to return to the previous page. Please note that the service automatically logs you out after 30 minutes of inactivity. Before sending messages, we recommend refreshing the page to ensure that your session is still active.

Your Information

Here you can view your personal information and the number of available message deliveries, or information related to your billing account. Please verify that you have sufficient services or message deliveries available before proceeding to send messages.

Purchasing Deliveries

For online store customers, the "Buy Deliveries" option provides access to the online store, where you can purchase the services or service packages you need. Within Luottoposti, both encrypted email deliveries and electronic signature requests are available for purchase as separate services through the online store. Value-added tax (VAT) is added at checkout.

  • You can access the online store through the "Buy Deliveries" option.
  • Add your selected service package to the shopping cart. Your selections will be displayed in the cart.
  • If you have a discount code, enter it in the shopping cart. Then select "Apply Coupon", and the shopping cart will be updated.
  • Select "Checkout" / "Proceed to Checkout".
  • Fill in your information.
  • Pay for your purchase using Paytrail’s payment methods (you will be redirected to Paytrail’s payment processing service).
  • Once you have accepted the order and agreement terms, select “Submit Order”, after which you will be redirected to the “Downloads” page. There, select “Download the Service Here” to activate the package you have purchased. The purchased service must be downloaded within 14 days of the payment transaction, and the link can only be used once to activate the purchased service. A service purchased from the online store and downloaded to Luottoposti remains available for use and does not expire.
  • After downloading the service, you need to log in to Luottoposti again for the purchased services to be updated and made available for use.
  • Under “My Information,” you can see how many shipments you have available. For billing customers, information about their billing account will be displayed in the corresponding section.

Sending with Luottoposti

Here you can send Luottoposti encrypted emails to multiple recipients at the same time. Complete each field according to the instructions provided in the help text. In the message field, you can write text and a greeting to the recipient. When copying and pasting text, it is recommended to use “Paste as Plain Text” to prevent any formatting from being included.

Add attachments one at a time. You can attach up to three files to a single message. You can also allow the recipient to reply to your encrypted email with an encrypted response. The recipient may include text and attach up to three files in their reply. By clicking the "Send" button, your message will be sent to the recipient. The recipient will receive an email from Luottoposti and a text message on their mobile phone. Using these together, the recipient can access the message you have sent. The message will remain available in Luottoposti for 14 days from the time it was sent.

  • Select "Send Luottoposti".
  • Enter the recipient’s name, subject, email address, and mobile phone number. Write your message and, if required, select the attachments you wish to include.
  • Make sure that the email address and mobile phone number have been entered correctly. Otherwise, the message may not be delivered, or the recipient may be unable to open it.
  • If you would like the recipient to be able to reply to your message, select the checkbox "I will pay for the reply option".
  • Once your message is ready, select "Send".
  • After the message has been sent, a confirmation of the successfully delivered Luottoposti message will be displayed on your screen. You will also receive an email receipt confirming the sent Luottoposti message, along with the recipient's details.
  • Return to Luottoposti deliveries via the Menu option in the top navigation bar.
  • The recipient receives a notification by email and a message-specific password via SMS to their mobile phone. The same password can be used to open the same message multiple times.
  • The recipient opens the encrypted email by following the instructions provided in the message sent to their email address. Once opened, the Luottoposti message and any attached files will be displayed on the screen.
  • To access the attachments, select "Go to Attachments" and then choose "Download Attachment x" to open or save the attachment. How the attachment is opened or saved on your device depends on your browser settings. Most browsers include a Downloads section where you can open or save downloaded files. We recommend saving the attachments to your device when opening the message.
  • If the sender has enabled the reply option, the recipient will see the following message: "The sender has paid for the option to reply to this message." The recipient can enter a response in the text field and attach up to three files. Once the reply is complete, it can be sent by clicking "Send".
  • The reply message is sent directly to the original sender. The person replying does not need to enter your email address or mobile phone number, nor do they need to register for Luottoposti.

Signature Request

Here you can send a PDF file for electronic signature to one or more recipients at the same time. Complete each field according to the instructions provided in the help text. First, enter the “Subject” so that the recipient can identify which document is being signed. Then add the PDF file that you would like to have signed. Review the information you have entered and select “Continue”. You can now add the details of each signer individually. Verify the contact information before saving the signer’s details by selecting the “Save Signer” button. Once all signers have been added and their contact information is displayed under the “Signers” heading, you can send the document for signature by selecting “Send Signature Request”. To return to Luottoposti deliveries, select “Menu” from the top navigation bar.

Message Tracking

All transmissions you have sent are available in the Delivery Tracking view. The “Luottoposti Messages” section contains your encrypted email deliveries, and the “Signature Requests” section contains your electronic signature requests. Under each heading, you can see the number of deliveries you have sent. You can review your deliveries by selecting the “Luottoposti Messages” or “Signature Requests” headings. In both sections, you will see the delivery date and time as well as recipient information. You can also access more detailed information for each individual delivery. Here you can verify whether the recipient has opened the Luottoposti message you sent. Likewise, under “Signature Requests”, you can see, among other details, whether all signers have signed the document.

Test Delivery

We recommend testing all attachments before sending them. This test verifies that the attachment is intact and has the correct format and size. Some software applications may occasionally create corrupted or invalid files, which can prevent successful delivery. In some cases, it may be necessary to print the document as a PDF file or save it in a different file format before it can be sent through Luottoposti.

File Archive

The File Archive contains all attachments you have sent, as well as signed documents from Luottoposti messages and signature requests sent within the last 14 days. Additional storage time for the File Archive can be ordered through our customer service. You may also delete files as you choose. Please note that once an attachment has been deleted, the recipient will no longer be able to access or open it.

Address Book

You can save recipient contact information in the Luottoposti Address Book. You can send an encrypted email to one or more recipients by selecting them from the Address Book. First select the recipient or recipients, and then click the "Write to Selected" button.

You can activate a permanent password for the recipient. This feature is intended for situations where the recipient does not have access to a mobile phone capable of receiving a password via SMS. This may be necessary, for example, when communicating with government authorities or banks.
